Define success before the meeting
Choose five to eight tasks that represent your working day, including an exception that causes trouble today. Write the expected result beside each one. Identify essentials separately from preferences. If accepting a required payment or producing the required record fails, a collection of attractive optional features should not compensate for that failure.
Record the evidence, not the impression
- Pass: the task is completed in the relevant configuration and the result is checked.
- Needs confirmation: the provider describes it, but the required setup or evidence is missing.
- Fail: the observed behavior does not meet the requirement.
- Not required: the capability does not affect this business’s decision.
Use one end-to-end story
For retail, sell two variants, apply an authorized discount, accept payment, return one item and trace the stock and report. For a café, send a modified order to the correct preparation station and correct it after sending. Include your actual scanner, printer or terminal when hardware affects the result. Record the country, plan and device used so a successful demo is not generalized to a different configuration.
Finish with a decision and open questions
Let the employee who will use the system attempt the critical steps. Give every unresolved issue a question, an owner and the evidence needed to close it. Compare total costs only after the essentials pass. Keep the completed scorecard with the quote; it helps explain why you chose the system and provides a concrete acceptance check during setup.
