Can you use a POS with your own payment processor?
Yes, some POS systems let you keep an outside payment processor. The important question is how the register and terminal work together: automatic payment exchange, a supported connection, or separate entry and confirmation. Verify your exact country, provider, terminal model and refund process before treating “bring your own processor” as a complete solution.
Separate the processor, the terminal and the POS
The processor handles the payment relationship. The terminal accepts the customer’s card or other supported payment method. The POS records the basket, stock movement and sale. Those roles may be sold together, but owning or paying for one does not establish how it communicates with the others.
Ask the provider to draw the actual checkout sequence for your equipment. Who enters the total? Which screen confirms the payment? Does the POS receive the result automatically? Where does the cashier begin a refund? If the answer changes by country or terminal model, put that restriction next to the quote.

Read external-terminal documentation literally
Shopify documents a standalone option in which the merchant uses an external processor and marks the order paid in Shopify POS after confirming the terminal payment. Its supported card-reader route has separate provider and country requirements. This is a concrete example of why support for external payments does not automatically mean the same payment detail or workflow as an integrated reader.
For VoVi, card payments use an external terminal. The US software offer is US$0 monthly with VoVi’s processor, subject to merchant approval, or US$99 monthly per location with another processor. International software is US$99 monthly per location in supported markets. Hardware and processing are separate. Confirm the actual terminal workflow rather than assuming an automatic connection from the software price.
Run five payment tests before switching
Use the provider’s appropriate test process or a supervised, agreed demonstration. The cashier should be able to explain the status of both the sale and the payment at every step. Record any manual action as a training requirement, not as a hidden assumption.
- Successful sale: the correct amount is paid once and tied to the right basket.
- Decline or cancellation: staff can tell that the sale is still unpaid.
- Wrong amount: demonstrate the approved correction before completing checkout.
- Partial refund: the stock decision and payment refund can both be traced.
- Daily close: totals can be matched and exceptions explained without guessing.
Give reconciliation an owner
Create a short closing sheet with the POS card total, the terminal or processor total and a place for explained differences. Define the same trading period on both sides. A refund recorded on another day, a separate batch cutoff or a missing manual entry can require investigation; do not simply force the totals to match.
Ask who supports a payment that succeeded on the terminal while the POS still shows an unpaid sale. Save the relevant support routes and references with your staff instructions. A clear handoff between the software team and the payment provider is part of the proposed setup.
Choose from the total cost and the demonstrated workflow
Compare both written arrangements using the same card volume, transaction count and locations. Include software changes, terminal rental or replacement, required services and any verified exit cost. Keeping a processor can be useful when its complete proposal and working process suit the business; a familiar brand name alone is not enough evidence.
